Website Design Company Group Emails

If you are part of website design company, and almost all employees are using macs, you may not have in place the ability to send group emails if you are just using mail. The following guide would also work, even if you are not a website design company, but still use Apple Macs.

Website Design Group Emails

At first glance when using mail, it seems that there is no ability to send emails to groups of contacts. If you regularly find yourself sending internal company emails to the same groups of people you’ll have surely realized that this is not only time consuming, but puts you a risk of missing people out, or worse still copying in external contacts with the same first name for example.
Group sending can be achieved quite easily really by combining Apple Mail along with Address Book.

Step by Step to setup

Adding Contacts in Address Book

  1. Open Address Book on your Mac which comes as standard with the iLife package.
  2. Add each required contact within the ‘all contacts’ section by clicking the ‘+’ at the bottom of the contact column. If you are doing this internally, you only need to add the contacts name and email, this way, it shouldn’t be too time consuming.
  3. Once you have added all your required contacts we now need to create a Group. You can do this by clicking the ‘+’ sign at the bottom of the group column.
  4. Once you’ve named the group simply drag the contacts into the group from the ‘All Contacts’ Section. Nb Contacts can appear in multiple groups.
  5. If you require more groups such as ‘Everyone’, ‘Managers’, ‘Teamleaders’ etc then simply repeat steps 3 and 4 accordingly.

Sending to Groups with Apple Mail

When you create a new email, simply type in the name of you group into your ‘To’ box and mail will automatically reference your address book.

Group Name Issues

For some strange reason, some website design companies experience issues with this method, when they name groups using multiple words. So just to be safe, I’d recommend that you just stick to single words or symbol breaks if possible.
